Did you know that 71% of the population of the United States use email on a daily basis? I sure didn’t, but a quick search on the internet before writing this blog told me so.
What does that have to do with the new employee SSO that is required on GreenEmployee.com, as of December 5th? It means that the vast majority of your employees will have no problem managing the new login security requirements. If any of your employees do not have an email address, however, they may have a hard time logging in to view information on GreenEmployee.com. If that happens, however, have no fear, we do have an option that will allow employees to access their account without an email address.
When an employee goes to Greenemployee.com to sign in, they will be prompted to either create an account or access without an account. Creating an account is going to be the easiest option for your employees because they will not have to jump through multiple different hoops to verify who they are each time they wish to log in. The alternative is to create an account, which I highly recommend. Creating an account will allow the employee to log in with their email address and the password that they create, once they have verified their identity based on information that you (the administrator) will setup on GreenshadesOnline.com.
Now, I am sure that you are curious as to what information I am talking about. If you log in to GreenshadesOnline.com as an Administrator and go to Settings, there are new “Access Settings” for employees for you to setup. In these new access settings, you can restrict which email domain an employee can use. For example, you can restrict the domain of the email address to only allow internal email addresses to be used.
Of course, if you choose to, you can allow any email address to be used (such as Gmail, Yahoo, MSN, etc). This would allow employees to use their personal emails to access their accounts. This is helpful if a company does not have an internal email account for employees.
Once you have figured out how you want to restrict email addresses, you can then set up the Identity Confirmation. During this set up you can choose from multiple types of identity verification options.
Here are the options:
- Text Messaging, Automated Phone calling or emailing of randomly generated verification codes
- Presentation of Random access code
- Manual verification by Administrators on GreenshadesOnline.com
- Answering Challenge Questions (You can choose our stock questions or add your own questions)
The above options will allow your employees to verify their identity with GreenEmployee.com, allowing them to use our new security options.
Many of you are probably reading this saying why change something if it’s not broken? Well, in short, last year was the largest year of tax fraud reported by the IRS and the SSA, in part because employees’ W-2s were either intercepted in the mail or online.
The bottom line is: We wanted to have the most secure employee self-service portal on the market and that is what we have created.
